Setting up your own sending domain

Send your invoices, quotes and reminders from your own domain, and the email clearly comes from your business, lands better in your customer's inbox, and is recognised as the real sender right away. Until your domain is verified, TelMaar automatically sends from noreply@telmaar.nl with your own address as the reply-to, so nothing gets lost in the meantime.

What you need

  • Access to your domain's DNS settings at your domain provider, for example GoDaddy, Namecheap, Cloudflare or your hosting company, or someone who manages that for you, such as your website builder
  • The owner or finance manager role in TelMaar

How to do it

  1. 1Go to Settings and then Sending domain.
  2. 2Enter your domain, for example yourcompany.com. Type only the domain name, without https:// and without an email address after it.
  3. 3Click Connect domain. TelMaar now shows three DNS records.
  4. 4Copy those three records over at your domain provider exactly: type, name and value must match literally.
  5. 5Wait until the records are live. This can take a few minutes, sometimes a couple of hours.
  6. 6Click Verify. If the records are correct, the status jumps to verified.
  7. 7Then set your sender address: a display name and an address on your own domain, for example invoices@yourcompany.com.
Enter your domain and click Connect domain.

What these three records do

The DKIM record is a TXT record named resend._domainkey. It works like a digital signature: recipients can see the email really comes from your domain and has not been forged.

The MX record sits on the name send and points to feedback-smtp.eu-west-1.amazonses.com with priority 10. That record catches bounces, emails that fail to arrive.

The SPF record is a TXT record on the name send with the value v=spf1 include:amazonses.com ~all. That states which servers are allowed to send on behalf of send.yourcompany.com.

All three records sit on the send subdomain. They do not affect your regular email: Microsoft 365 or Google Workspace on yourcompany.com keeps working exactly as before.

Not working?

Verification keeps failing.
Often the records have not propagated yet; DNS changes take time. Also check for an extra space or quotation mark, and for a doubled name such as send.yourcompany.com.yourcompany.com. Then wait a little longer and click Verify again.
You get a message that the sender address must end on the verified domain.
Choose an address on the domain you just connected, for example invoices@yourcompany.com, not an address on a different domain.
You get a message that connecting domains is not enabled yet.
