Checking and sending customer communication

A quote never just goes out the door. The "Review and send" window first shows exactly what the customer will read, in their own language, and blocks sending while anything is missing.

How to review and send

  1. 1Open the quote and click "Review and send".
  2. 2The window shows the recipient, the channel (email), the recipient language and the language you entered it in.
  3. 3If there is free text and the languages differ, the translation panel opens: the original next to the customer version, with locked terms and unknown terminology marked.
  4. 4If the translation is correct, click "Approved by me". To continue later, click "Save as draft".
  5. 5If something is missing, such as an email address, the customer language, quote lines or a valid-until date, the window blocks with a list and the "Fix now" link.
  6. 6Once everything is complete, click "Review and send" to actually send it. Send the same quote again and the button reads "Resend".
The translation panel shows the original next to the customer version, with the locked term clearly marked.
A locked term stays exactly as written in what the customer receives, even when the rest of the sentence is in a different language.

What happens if I send without approving the translation?

If no translation has been saved yet, the customer receives the original text in your own language. Approve the translation first and the customer version you checked goes out instead.

Why can't I click send?

The window blocks sending while anything is missing: a customer email address, the customer language, quote lines, a total above zero, or a valid expiry date. Click "Fix now" to jump straight there.
