Automations and approvals: if-then rules and four eyes

Some steps you repeat every time, others you do not want to pass without a second pair of eyes. TelMaar has two separate systems for that: automations are flexible, approvals are a lock.

Two systems, two characters

An automation is an if-then rule: on an event such as a completed job or a sent invoice, a follow-up step starts. If that step fails, it never touches the underlying action: the job stays completed. An approval works the other way round and strictly: on discount, quote, purchase and work order you set a limit above which someone else must approve first. Without that approval it does not go through.

How to create an if-then rule

  1. 1Go to Settings and choose Workflows.
  2. 2Click New rule, give it a name and choose the event, for example Job completed.
  3. 3Add a condition if needed and choose the action, for example create a task or a notification.
  4. 4Turn the rule on. Under Executed you see per event what ran.

Setting up approvals

  • Under Settings, Approval you set per type (discount, quote, purchase, work order) the amount above which approval is needed.
  • Anything above the limit appears for the approver under Approvals; they approve or reject with a reason.
  • Who may approve follows from the role; a requester cannot approve their own request.
Workflows and Approval are in the settings under Sales and work.
