Sending an invoice to your customer
Sending does more than deliver an email. At that moment the invoice gets its final number, the pdf is created and the invoice enters your bookkeeping.
How to do it
- 1Go to Sales and then Invoices and open the invoice.
- 2Click Send at the top right.
- 3Read the check sentence in the window that opens. It states which amount goes to which customer on behalf of which company.
- 4Is it correct? Then click Confirm and send.
- 5The customer receives an email with the pdf attached and a link to the customer portal, where they can also view the invoice online.
What happens at that moment
- The invoice gets its final invoice number.
- The pdf is created and stored, in your customer's language.
- The status goes from draft to sent and the invoice can no longer be edited.
- The entry is posted to your general ledger automatically.
No email address, or sending it yourself
If your customer has no email address on their contact record, sending still goes ahead: the invoice is numbered and the pdf is ready to download. Only the email does not go out.
If you deliberately do not want to send an email, for instance because you are posting the invoice yourself, choose Mark as sent under More. That assigns a number too, but emails nothing.
Want to email it later after all? Click Resend. The invoice keeps its original number; no second number is used.
Not working?
- You get a message that a cancelled invoice cannot be sent.
- A cancelled invoice is kept but never goes out again. Create a new invoice, for instance by copying the old one through More and then Duplicate.
- The customer says they did not receive anything.
- First check whether there is an email address on the contact. If there is, read the article about an invoice that did not arrive; usually the email ended up in the spam folder.
