Creating your first invoice

Creating an invoice means putting together the lines and the amount. Sending is a separate step; as long as you do not send it, the invoice stays a draft that you can adjust at your leisure.

What you need

  • Your company details filled in under Settings and then Company. They end up on the invoice.
  • The customer as a contact in TelMaar, with an email address if you want to email the invoice later on.
  • A role with sales permissions. If you cannot click New invoice anywhere, your role does not have those permissions.

How to do it

  1. 1Go to Sales and then Invoices and click New invoice.
  2. 2Pick the customer at the top.
  3. 3Fill in the lines: description, quantity, price per unit and VAT (Dutch: btw). If you have created products, you can pick one and the price and the VAT rate are filled in for you.
  4. 4Leave Due date empty if you want to use your usual payment term. TelMaar then works it out from the invoice date.
  5. 5Under Reference, enter your customer's order number if they ask for one. It ends up on the invoice.
  6. 6Add a note underneath if you like, and link the invoice to a project if you want to keep the hours and costs together.
  7. 7Click Save invoice. The invoice is now in your list as a draft.
Pick the customer at the top before filling in lines.
Click Save invoice: it now sits as a draft in your list.

No number yet

A draft does not have a real invoice number yet. It is only assigned the moment you send the invoice. That way, drafts you end up throwing away do not leave gaps in your number sequence.

You can still change or delete a draft entirely. Once it has been sent, that is no longer possible; from then on you correct it with a credit note.

Not working?

Your customer is not in the list.
The list only shows contacts that exist in TelMaar. Add the customer under Contacts first, or load your whole customer file at once through Contacts and then Import.
The New invoice button is missing, or saving fails.
Only a role with sales permissions may create invoices. Ask the owner of your group to adjust your role under Team and roles.
