Adding a contact

A contact is a customer or a supplier. You create them once for the whole organisation, and after that you link them to the company you work for.

What you need

  • The name of the company or the person. That is the only required field.
  • The address, if you want to invoice this contact. The address goes on the invoice, the quote and the e-invoice.
  • A role with write access to contacts: owner, finance manager or sales representative.

How to do it

  1. 1Go to Contacts in the sidebar.
  2. 2Click New contact at the top right.
  3. 3Fill in the name and choose under Type whether it is a company or a person.
  4. 4Fill in email addresses and phone numbers, separated by commas. The first number becomes the call button on the work order.
  5. 5Fill in the VAT number (Dutch: btw-nummer) and the KvK number if you have them.
  6. 6Under Address, fill in the street, postal code, city and country.
  7. 7Under Document language, choose the language in which this contact receives invoices, quotes and emails. Automatic picks Dutch for the Netherlands and Belgium, and English for the rest.
  8. 8Tick Link directly to and choose whether this contact is a Customer, a Supplier, or both.
  9. 9Click Create.

From your phone as well

In the mobile app you go to More, then Contacts, and there you create a new contact. You fill in a KvK number or a name, and TELMAAR pulls in the address, the legal form and the VAT number.

Do you have a whole list from your old package? Then use the Import (CSV) button on the contact overview instead of typing them in one by one.

Not working?

You see the message "Enter a name." and nothing is saved.
The name field is empty or contains only spaces. Fill in the company name or the person's full name and click Create again.
The New contact button is missing, or saving is refused.
Your role is not allowed to create contacts. Only the owner, the finance manager and the sales representative may do that. An external accountant and a read-only user can look on. Ask the owner to adjust your role.
