What is the customer portal?
The customer portal is a protected page where your customer looks at their own documents. That way you do not have to email an attachment with every question.
Logging in without a password
On your organisation's portal page your customer fills in their email address and gets a login link by email. There is no password, so there is nothing to forget either.
The portal always gives the same confirmation, also for an address that is not known. That way nobody can use the portal to work out which email addresses are in your records. A link is only really sent to a contact person with portal access.
What your customer can do there
- Look at quotes, and accept or reject them by filling in their name. That counts as a digital signature.
- Look at invoices, read the payment instructions and pay unpaid invoices online.
- Follow work orders and projects.
- Open and download documents.
- Ask support questions, with a subject, an explanation and a priority, and read your answer back.
- Update their own address and contact details, and submit a GDPR request for access or deletion.
How to switch access on
- 1Open the contact through Contacts and go to the Contact persons tab.
- 2Make sure the contact person has an email address.
- 3Go to the Portal access tab and switch the toggle on for that person.
- 4Go to Customer portal management to copy the portal link and send it to your customer.
Answering questions
If your customer asks a question in the portal, it comes in at Customer portal management, under Support requests. There you set the status to open, in progress, answered or closed, and type your reply.
Your customer sees your answer back in the portal and also gets a message about it by email.
