Creating a quote and having it signed online
Your customer receives a link to their own page. There they fill in their name and click Accept; that counts as a digital signature and you are notified straight away.
How to do it
- 1Go to Sales and then Quotes and click New quote.
- 2Pick the customer and enter the lines: description, quantity, price and VAT (Dutch: btw).
- 3Under Valid until, enter the date up to which you are bound by your price.
- 4Put your terms and any notes underneath. They end up on the pdf.
- 5Click Save quote. The quote is now in your list as a draft.
- 6Open the quote and click Send. Your customer receives an email with the pdf and a link to their page in the customer portal.
- 7As soon as your customer fills in their name and clicks Accept, the quote switches to accepted and you get an email.
- 8Then click Convert to invoice to turn it into an invoice in one go.
What is recorded at signing
- The name your customer entered.
- The date and time of acceptance.
- The internet address they approved it from.
- That the approval came in through the customer portal and not by phone.
Approval by phone or by email
If your customer simply says yes on the phone, you set the status to accepted yourself on the quote page. TELMAAR then records that the approval came in outside the portal.
On their page, your customer can also click Reject. The quote then switches to declined and you see that back in your list, so you are not left waiting.
Not working?
- Your customer gets a message that the quote can no longer be accepted.
- Accepting is only possible on a quote with the status sent. If it has already been accepted, declined or converted into an invoice, that button is gone. If needed, create a new quote by copying the old one.
- Your customer did not get an email with the link.
- If there is no email address on the contact, the quote is saved and the pdf is created, but no email goes out. Add the email address under Contacts and then click Resend.
