Invoicing a job

Once the job is done, you turn it into an invoice with a single button. TELMAAR takes everything that is on the job and has not been invoiced yet.

How to do it

  1. 1Open the job and check that the hours and the lines for materials and the call-out charge are correct.
  2. 2Set the job to Finished with the Job finished button.
  3. 3Click Create invoice.
  4. 4You first get to see what is coming: the amount and the number of lines. If that is right, click Yes, create it.
  5. 5The invoice is now ready as a draft under Sales. Check it through there and send it.

Three kinds of invoice

  • Final invoice: closes the job. It carries the hours, the materials and the call-out charge that have not been invoiced yet, with the instalments already paid deducted.
  • Instalment invoice: an advance on a job that is still running. You fill in the amount excluding VAT yourself. It is settled in the final invoice.
  • Collective invoice: several finished jobs for the same customer on one invoice. You create it through Jobs and then Collective invoice.

What ends up on the invoice

With a fixed price, the agreed amount goes on the invoice. With Per hour or Hours and materials afterwards, the hours you logged go on it, at the job's hourly rate.

Everything that goes along is ticked off straight away. That way the same materials cannot accidentally end up on two invoices, for example on the collective invoice and on the final invoice.

Not working?

You get the message that there is nothing on this job to invoice yet.
No billable line is left open. Check whether you logged hours, whether the bill tick box is on for those hours and lines, and whether they have not already gone along on an earlier invoice.
The Create invoice button does nothing, or you get a message about permissions.
Only the Owner, Finance manager and Sales representative roles may create invoices. Ask a colleague with one of those roles. If you get the message that a customer has to be selected first, link the right contact to the job.
