Creating and scheduling a job

A job is the starting point of the whole chain: you log hours and materials on it, and out of it come the work order and the invoice. Here you can read how to create one and schedule it.

How to create a job

  1. 1Go to Jobs and click Create job.
  2. 2Under What needs doing, enter a short title, for example Replace twelve spotlights, and pick the customer.
  3. 3In Notes, put down exactly what was agreed and what the person doing the work should watch out for.
  4. 4Under Where is it, only fill in an address if you are working somewhere other than where the customer's post goes. Under Directions you put things like round the back or key with the neighbours.
  5. 5Under When and who, fill in when the job starts and roughly when it finishes, and pick who is doing it. If colleagues are going along, add them under Coming along.
  6. 6Under What was agreed, pick the price arrangement: Per hour, Fixed price, or Hours and materials afterwards. Then fill in the hourly rate, the agreed amount and, if it applies, the call-out charge.
  7. 7Click Create job. The job number is added automatically.

Dividing the work on the planning board

The planning board shows a column per engineer with that day's work. You drag a job from one column to another to assign it. Go to Jobs and then Planning board, and page through with Previous day and Next day.

Dragging only works in the web app. In the mobile app you can view the planning board and assign a job from the list, but you cannot drag.

Jobs that nobody has yet sit in the Nobody yet column and stay there day after day until somebody picks them up. Finished and invoiced jobs are not on the board: it is about what still has to happen.

Letting the customer know when you are coming

  • The job has a Confirm to customer button. It sends an email with the appointment.
  • That deliberately does not happen by itself when you save. A job is often tweaked a few more times, and the customer would then get three confirmations with different times.
  • The reminder the day before the appointment does go out automatically, as soon as you have confirmed once.

Not working?

Confirm to customer does not work.
There are three reasons. The customer has no email address: add one on the contact. There is no date and time yet: without a time the customer does not know when you are coming. Or no customer has been picked on the job yet.
The job is not on the planning board.
The board only shows jobs with the status Scheduled, On the way or In progress. Once the job is Finished or Invoiced, it drops off. If the job does have someone assigned, it only appears on the day it is scheduled for: page through to that day.
