Moving unpaid invoices over from your old package
Invoices your customer has already received but has not paid yet, you enter again in TelMaar. After that your outstanding amounts add up again and TelMaar can take over the reminders.
What you move and what you leave
You only move invoices that still have to bring in money. Invoices that have already been paid stay in your old package; you do not need them here.
Your old invoices do not come across on their own. There is no link with other accounting packages, so you type them over yourself. In practice it is usually a handful of invoices.
How to do it
- 1First create the customer under Contacts, if they are not there yet.
- 2Go to Sales and then Invoices and click New invoice.
- 3Pick the customer and enter the lines of the old invoice, with the same amount and the same VAT rate (Dutch: btw).
- 4Under Due date, fill in the original due date. If you leave this empty, TelMaar works out a new term and the reminders start too late.
- 5Put the old invoice number under Reference, so you can look up later which invoice this was.
- 6Save the invoice. It is now ready as a draft.
- 7Open the invoice, click More at the top right and choose Mark as sent. The invoice gets a final number and moves to sent, without any email going out.
- 8Has part of it been paid already? Then click Record payment and fill in the amount received and the date.
Your numbering starts over
TelMaar starts its own number series. You cannot set a starting number yourself, but you can set your own prefix under Settings and then Company, in the Billing block.
That is why you put the old number under Reference. Your old package stays the source for those old numbers; you have to keep those records for seven years anyway.
Not working?
- The option Mark as sent is not in the menu.
- That option only appears on an invoice with the status draft. If the invoice is already on sent, it has been numbered and there is nothing left to do.
- Switching is not in your settings.
- That page is only visible to the owner of the group. Entering invoices works fine with a role that has sales rights; ask the owner for that role if you do not see the New invoice button.
