Closing a period
Closing means locking your entries up to and including a date you choose. You do that when a quarter or a year is finished and the figures are final.
What closing does
Every entry up to and including the date you choose is locked. What is locked does not change any more. That is exactly what a closing is for: your accountant wants to be able to trust that a finished period is not altered afterwards.
Entries after that date stay open. So you can simply carry on working on the new period.
How to do it
- 1First finish the period off: every invoice sent, every receipt processed, every bank transaction matched and your VAT return filed.
- 2Go to Accounting and then Period closing.
- 3Look at the three boxes at the top: through which date you have already closed, how many entries are locked and how many are still open.
- 4Click Close period at the top right.
- 5Fill in the closing date, for example 31 December for a whole year or 31 March for the first quarter.
- 6Click the button to confirm and then click the final confirmation once more. That second step is there on purpose.
- 7You get a message with the date and the counters at the top are updated.
Not working?
- The Close period button does nothing, or you get an error message about the date.
- The date field has to contain a real date. Click in the field and pick a date from the calendar instead of typing it yourself.
- You get a message that you do not have permission for this.
- Only the owner, the finance manager and the bookkeeper can close a period. Check which role you have under Settings and then Users & roles, or ask the owner to do it.
